Would you help me write this letter in a better way& grammtically correct?

Thank you for the information. I would be graceful if you and Amy Davis can come out and talk to us and guide us on developing a plan on how to recruit business. When would be a convinience time for you and Kari can come out? I'm pretty flexible and if we can set up a meeting a month a head of time, my director, Sam Smith, and my college, Lai Christman will be able to join us as well.
