Would you help me saying this in a better way and grammatically correct?

My name is FG. I'm a Special Projects Coordinator for the City of AD. We are in the process of proposing to the City coucil for an approval of having events in AD Town Square. The events project is designed so that residents, particularly families, can come downtown AD to have a good time with free live music. If the council approve, we would like to invite you, the AF Band to perform for us at our Town Square event. We wanted to know how much will you charge us for coming out and perform for us and the residents of AD?
