Would you help me say this letter in a better & polite way ?

I’m writing to ask if you need anything at the reception such as projection, handout, etc. I have attached the directions to the reception for you. Would you also provide your power point presentation? I am now drafting the agenda and because you have limited of time, you will be the first speaker of the night which starts at 7:10. You will have 30 minutes for your presentation and questions from the audience. And, we’re expecting 50 attendees including the Mayor, council, local businesses, and staff.
