Would+ when + will

If the phrase is ok?

I would be happy to receive the agenda of the event in order to understand context and time available for the presentation when it will be convenient for you.

Could you please explain how to use would in such situations ( I mean when you have "when" after)

Is it possible to improve the phrase in order to make it more "native English" ?

Thank you!

In this context, "would" serves to make the sentence more polite, so it is absolutely fine. when it is convenient for you". This is a present tense, but it has a future meaning (it is a future time clause).

However, to make it more natural English, I would change the verb form after "when":

"...when it is convenient for you".

This is a present tense, but it has a future meaning (it is a future time clause).
