The second is slightly better. It is still too vague. Name the project and then name the personnel. I would say:

Please provide gate passes for the following personnel from our department (who are working on Project X).

[Then immediately list those personnel.]

There were 2 knots in the cable, which was already too short for the use I had for it since I needed the cable to go from on end of the room to the other. I needed a long cable because the plug was on the other side of the room and I needed to set up the projector on the opposite side. I undid the 2 knots and it was barely long enough but I managed with a power strip.

If you are listening to music on the computer and you ask someone to turn the volume down. you need to press a key a number of times depending on how low you want the volume to.

Well, you are leaving out the project name. But if that is not important, this is pretty good.

I understand what you are trying to say. However, I would reword it a bit. For example:
There were two knots in the cable, which made it too short for my purposes. I needed a cable long enough to cross the room because the power plug was on one side of the room and I needed to set up the projector on the opposite side. So I untied the two knots. It was now just barely long enough once I added a power strip

There is nothing wrong with the language. I might reword for style and clarity (see below). Why don't you simply tell her why you want payment in advance? (Time and materials cost).
