"whenever" and verb tenses following it

Hello everybody,

I had to write some business correspondence recently and I got stuck at the early beginning in the mesh of time clauses and verb tenses. Here's the sentence I would like you to check in various verb tense - options and to give some brief comment if possible. I start with what I believe is a correct sentence and adequate to what I need to express with it :

" Whenever you send us your goods we receive your documents related to the delivery after the truck has already set

off."
(this sentence would be followed by  i.e : "The solving of this problem would save us money and future inconvenience so we hope you will...etc)

Do I keep the meaning of the original sentence and is it grammatically correct if i tried to rephrase the sentence using the present perfect tense or the simple past tense in the "whenever clause" , as i have done in the 1 and 2 below respectively :

1a) Whenever you've sent us your goods, we have received your documents related to the delivery when the truck has already set off .

1b) Whenever you've sent us your goods we would receive your documents related to the delivery after the truck has already set off.

2a). Whenever you sent us your goods we received your documents related to the delivery after the truck had already set off.

2b) Whenever you sent us your goods we would receive your documents related to the delivery when the truck had already set off.

Also , what if i put the verb in "..when the truck had already set off" in simple past instead of the past perfect tense in the sentences under 2) ?

The sequence of the three events 1) sending the goods; 2) receiving the documents and 3) the truck leaving needs to be clearer. Here is a more emphatic passage:
In the future, whenever you send us goods, please contact us to verify that we have received the documents related to the order before you dispatch the delivery truck from your location. This will save us many headaches in invoice processing, and greatly improve operations.

Sorry I did not understand your question. Here are some comments on the verb tenses in your sentences

1a) Whenever you've sent us your goods, we have received your documents related to the delivery when the truck has already set off .
you've sent: You have sent is present perfect. It is used for an action in the past that is not finally complete yet.

Thank you very much for such a thorough answer. I've read it twice already and it helps a lot. I'll have to put some more time though to think through all the details and see where I'm wrong with my verb tenses usage.
