Simple past tense or simple present tense.

Hello everybody,
I really need your help to improve my english. I usually write in a journal like this.
1045hrs : Accompany a group of students to depot.
1130hrs : The students arrive at depot.
1200hrs : Mr. John briefs the students about safety before they walk into workshop.

I'm not very sure what tense should I use either simple past tense or simple present tense. my friends write it in past tense. Advise me please.
