We did send a reminder to dispatch the items and we got a reply they would send them by next week.

Do you think the version given below is correct?

We sent a reminder to dispatch the items, they said it is not yet approved by their Purchasing Manager. Once he approves, he would dispatch the items.

Items are usually sent to a Purchasing Manager, not by him/her.
