Reply to a complaint case
Please help me improve the following reply to a complaint case. Thank you.
We refer to the complaint case referred by you to our office on 15 June 2016, we understand that the case has also been referred to Supplies Division, Technical Division and Sales Section in the meantime and they are carrying out investigations and taking rectification actions in their respective areas at this moment. Having conducted an investigation by our staff again on 20 June 2016, we can confirm that the machine mentioned in the complaint case is out of management purview and we are not associated with the complaint case accordingly. Thus, we are afraid that we will have no put in the reply to this complaint case. If you need further information about the case, please feel free to contact me.

In the meantime, they are conducting their own investigation, after which they will take steps to rectify the situation in their respective areas.
