Regarding a subordinate clause

Hi. Is the underlined part of the sentence correct? If it is, could we have written it better, perhaps to be clearer? Also, should we use the word "when" one more time between the conjunction "and" the pronoun "they"? As for your information, the pronoun "they" refers to the people who were in the seminar room. Thank you in advance for your help.

When he went into the seminar room and (when?) they saw him, they were shocked.
