Letter Writing

"Updation of Food card is not done properly" to HR department.

Hi,

I am writing a letter to HR department of my company regarding Food card, which is a normal card provided by organization by which we can do transaction for groceries and meals.
Every month, my organization uploads a certain amount in my Food card.

Now, the problem is, My Food card should get in effect from the month of July according the organization policy. But, it has got in effect from the month of September. So, I am writing a mail to HR department regarding this.

The letter is written below, please rectify if it needs to do.

Hi,
My Food card has loaded from the month of September. However, according to the attached document, it is clearly mentioned that, the required amount will be uploaded in the Food Card with effect from the date of the last salary revision of the employees. My salary structure has got in effect from July 3rd 2007. So, according to the statement, my Food card should be uploaded from the month of July not September.

May I know the reason ?
