Hello teachers.

During a conference at which I am participating, I approach one of the participants and say:

We're gathering work materials from participants as we're currently in the process of uploading contents to a website especially dedicated for the conference. If you happen to have any such files or media that you could provide us with, then we'd be happy to receive those (these ?) from you as it will (would ?) save us from having to do mass typing, ( ; ?) thank you.

We're gathering work materials from conference participants as we're suggest we are currently in the process of uploading contents content to a website especially suggest specially or specifically or no word here dedicated for to the conference. work materials seems a bit vague to me. If you think its meaning will be obvious, then that's OK.
