Progress report to the senior official
Please help me improve the following progress report to the senior official. Thank you.
I would like to report to you about the latest development of the following matters:
1)Since our department has received several concerns from the users about the rusty metal gates on the wooden benches at the playground posing threat to their dogs, we decide to request the Technical Division to remove those gates for good.
2) As instructed, I had a telephone conversation with Ms. Smith of County Council on 15.10.2016 and I explained to her that as the complainant name indicated on their complaint referral was abnormally mine, I suggest Ms. Smith to re-check the details of complaint referral or simply cancel the referral and I promised to directly contact the departments involved in the referral to deal with the existence of toxic plants at our playground.

the rusty railings, rather than gates, on the wooden benches.
Concerning the sentence "as the complainant name indicated on their complaint referral was abnormally mine", I intend to state that my name was indicated on the complaint referral as the complainant and I think it should be wrongly typed or referred.
