Let me briefly introduce myself to you, I am Joshua, a medical doctor from XXX, also a lecturer from Faculty of XXX, XXX University. I am currently doing my graduate study in the Department of xxxx, under supervision of Prof.xxxx. I have enrolled to this department about 4 years ago, in October year.
Firstly, I would like to express my sincere thanks for your compliance to be involved in the committee for reviewing my thesis, entitled:xxxx.
Today, I just received the result of the preliminary examination of my doctoral thesis that it has been accepted and could continue to be presented for further examination.
Therefore, regarding this matter, I’m writing to kindly ask for your availability to hold my doctoral thesis presentation and examination for the period of xx to xx September YEAR. Would it be possible for you to give me the information about your available time for this event? For your convenience, I have included a timetable format in this mail for you to fill out according to your preferred time, simply by putting a circle mark (o) for the available time and cross mark (x) for time that is not available for you, and send it back to me using this mail. Otherwise, I also could provide you the print-out version of this document and will bring it to your office personally if you prefer to do so.
If there is any other additional information that I can provide, feel free to let me know.
