Letter Writing

Please Help...I need to write a letter to Statistic Department in Ministry

My boss request to write to letter to explain that the Company is only a property holding company and the sport and social club is only for staff activity in building morality. The letter's are to explain to avoid the census form to be filled up.

Please help. I need it Urgently..
