Please help me to write a business letter

I need a business letter to get some information from the visitors abroad for me to arrange the reservation for hotel and pick-up/send-off service at the airport..

But they are not responding me so well so I need to write on the letter that

the hotel could be placed far from the meeting if they are not responding asap because of fully booked.
