NEGLIGENCE OF DUTY
It has been brought my attention that employees were not paid according to the schedule.
furthermore,it has been discovered that most employees were credited with huge sums of money in their personal accounts.hopefully you know the operations of the systems used at payroll as it is not new systems to us since we have been using it previously but have never uncounted this problem.
basing on the above please explain as to why disciplinary proceedings cannot be instituted against you.you are to respond not later than a week.

The above matter refers,
i acknowledge receipt of letter on above subject matter.i would like to categorically state that as you have averred the likelihood that i know the operations of the said system does not have any implication/bearing to the stated matter.
from your letter, i am failing to pick what you said i did to warrant disciplinary proceedings against me and if so what charge will i be defending myself against.mine is to manage and monitor the organisation information systems as what i was appointed for not to input what is to be paid to individuals or to manage payment proceedings. given the above,i do see any reason why any disciplinary proceeding should be taken against me unless otherwise preconceived. i take it that since money was credited to personal accounts,system were running fine since the paying officers managed to do so.i believe this proceeding should be taken to a relevant person who did this with out checking the payroll procedure or check and balances of their work.
