Please correct this letter

Hi,

Please go through this letter and let me know how I could have writtent this more effectively and without any gramatical mistakes.

Dear XXX,

According to the award policy laid down by YYY our engineers contribution to resolve the customer case will fall under “High impact” category . $DDD is the maximum award amount that can be given to engineers under this category.

Award policy is framed to avoid disparities in the award amount given by different ZZZ managers to CCC engineers. This policy is being followed judiciously across all CCC projects.

However, if a ZZZ manager wants to reward CCCC engineers more than what is stated in the policy he has to send a mail to the CCC manager justifying the reason.

Please let me know if you need any additional information.

Thanks,

VVV

I am not exactly sure of this letter so I can't really help you. The only concept I've gathered is that it's about an award and policy in which it's handed out by. But the words you used (like framed and judiciously) and the alphabets threw me off. So if you can clean it up a little bit, I will be glad to offer you my 2 cents.
