Please correct?

Could you help me with the following , as i had a task assigned to me at my work, I had to duplicate a new shared folder structure to a previous folder that contains a lot of files (documents) and all of them were mixed nor organized. I have successfully duplicated the new structure(folders/sub-folders) and i had to copy and relocate all files from the previous folders to the new folder organized year-wise. I need to send an e-mail to my colleagues to notify them that the task has been completed and all files/folders were duplicated to the new structure, organised year-wise and stored to the relevant folders.The files(documents) are from our previous programm started 2012-2012 , so now it will be easier to locate files if needed , as they are structured year-wise and to the relevant folders/sub-folders

"Dear Team.

Please note that the new folder structure has been duplicated to the X shared folder and all files have been copied to the relevant folders, organized year-wise . Kindly review the folders and let me now if further improvement is needed.All files have been relocate and stored so for our ease to locate documents from the previous program started 2010-2012"

Please help me with the above e-mail, how can i structure it in a more understandable way and to paraphrase it in order to be in more formal way written.
