Please check my brief letter

teacher, please check for errors. Thank you. I am not sure if I have used the past perfect tense correctly.

I have been informed by my aunty that she attended at your clinic from 2008 to 2010 and she had contacted your clinic last year and was told by your assistant that the clinic did not have any records for that time period. Can you send her a letter to that effect that your clinic do not have any records on her.
