Please check and help

Dear teachers,

please check my sentence and try to help me. I don´t know why but when I translate from Italian to English I always make my sentences more complicated than it should be ... :-(((

"Dear XXX,

we have tried to meet the deadline for the order of the electricity but now it is too late, I was told that you wil have to pay a surcharge because of the late order"

1. could I say: "We have been trying" to give the idea that we are still working to place the order on time?

2. Why you used "for ordering the electricity" instead of "for the order of the electricity" ?

Please be so kind to clarify these two points

One more thing...

If I say: "We are trying to meet the deadline" it means that it is still possible to meet it. But if I say:

"We have been trying to meet the deadline" here is not clear if it is still a possibility to meet it or not!?

Please can you explain this point?

In the case I wished to use the continuous form like: "We have been trying to meet the deadline" could I give the impression that we tried for a very long time but that in the end we did not menage. ?
