One of our staff who is on leave due to his wife's traffic accident has sent an email requesting leave extension for additional 5-7 days as his wife is still in hospital. I need to inform to HR regarding the same. Please advise if the below sentence would be fine.

"Please see the trailing email received from subject staff who requires leave extension citing his wife’s medical condition for your doing the needful. "

Please do the needful is OK in Indian English, but not in western-style English.

Note: I learned that there are principles of business communications; they should be polite, respectful, direct, informative and clear.

See how these principles apply to this letter.

1. It is very short. The HR person needs to read only the first 9 words to get the instructions.

2. It is very clear and explicit as to what is required.

The name of the staff member is given so the HR person does not have to read further.

3. It is polite. "Please" and "thank you" are used.

4. It respects the recipient's time because he doesn't have to figure out "the needful."

5. In case of questions, the reader can refer to the included email for further information.
