Phrasing help needed:

Hello,

Could somebody possibly help me choose the appropriate verb/phrase in the following sentence?

"...
The status of the order fulfilment (planned or confirmed delivery date, existence of a receipt card, entering of a corresponding invoice received into the system, invoice approval etc.) is symbolised in the system by items.

..."

I'm not sure if symbolized by items is clear enough. Maybe given in items is better. The author of the sentence probably wants to say that each step (of the order fulfilment process) is represented or displayed in the system as an individual item. What would the best way of expressing this be in your opinion?

I'll be grateful for your suggestions, as well as any other corrections.
