Hi. Is this correct? Pretending this is very informal email correspondence

Hi. I found out the supplies had not been received by us when we last checked our record.

How about this?

Hi. Our supplies had not been received by us when we last checked our record.

Both are OK, but the passive is not at all necessary. When we last checked our records, I found out that we had not yet received the supplies. We had not yet received the supplies at the time we last checked our records.
