Meeting Summary

Can anybody help me improve the following meeting summary? Thank you.

Dear Sir,

As scheduled, I was joined by Jackie and May to attend the site meeting with Mr. Davies on 11.05.2016, aiming to discuss the horticultural and environmental issues about Sunshine Region. Summary of the meeting, particularly various requests made by Mr. Davies and our proposed reactions towards his requests are shown as follows:

1) Requested to trim down or simply remove the overgrown shrubs on the planter in front of management office as those shrubs were accused by some residents of hiding the traffic lights and their sightline to expect the vehicles coming from adjacent Empire Street and a safety concern arose accordingly. We proposed to discuss with horticultural services contractor to trim down or remove those shrubs.

2) Requested to enhance the anti-mosquito measures facing the approaching of mosquito breeding seasons and consider planting scented shrubs at the planters. We ordered our contractor to step up their already-started anti-mosquito measures, but we had a great concern about the likelihood of scented shrubs affecting those who have allergic towards such shrubs.

3) Requested to consider removing the nearly burnt fences at the planter which were recently affected by some irresponsible residents placing a metal box nearby for burning sacrifices to the ancestors. We proposed to remove the fences as those adjacent shrubs had grown healthily and formed as if a retaining wall to strongly sustain themselves.
