Is this sentence grammatically correct?

Is there any option in the system to not allow the duplicate records if the records are in same reference?

It's grammatical, but it could be improved. I don't understand what you mean by "in same reference" at the end. I suggest this: Is there any option in the system to reject duplicate records if/when ...???

It's grammatical, but it could be improved. I don't understand what you mean by "in same reference" at the end. I suggest this:

Is there any option in the system to reject duplicate records if/when ...???

You'll have to explain the end before we can do anything about that part.
