Letter Writing

I wanna write a formal e-mail

Hello
I wanna send an e-mail for someone and i want it to be :
1-formal & polite
2-I want him to know that it's hard for me to meet him in person
and I wonder if I could meet anyone on behalf of him to discuss the idea .coz that will be easier on me
(( I am wearing Hejab,that's why it's hard on me to meet him in person))

So,would you guys help me to write that e-mail
