I need help!!!

Now I am writing a formal letter, so a person is coming to my country soon, I am writing to him the letter as follows
"Dear .........,
Thanks for your e-mail.
if we can have meeting in Astana, it will be very good.
I would be very grateful if you could inform me about your visit in a few days time.
many thanks in advance.
I am looking forward to hearing from you.
Yours faithfully, ........"
Is this correct and apropriate letter! Could u help me please!
