How to write and end a business letter politely?

Hi all,

I am a junior with 1 year working experience that frequently required to write letter asking external to provide us information in Asia.

I wonder if there is any hints/ clues that can show your sincerely in the letter?

Your opinion on my understanding below will defintely help lots of junior like clear his though in his early career!

To me, being polite means to use more "Please" and "Kindly",

e.g Can you kindly provide us .... , or "Please give us xx data"

Besides, I tend to use more passive voice and reduce the use of "I" by we.

How to end a letter politely without machanically repeat a few sentense is another tricky place.

I am used to end a letter by:

"Your prompt reply is highly appreciated" - when i expect the reader to reply me quickly

" Thank you for your kind attention" - The reader is expect to read it without any further action

"Thanks" - without any meaning, just to make the ending of the letter more polite

Both are the cases while writing to business in Asia, specifically China more frequently.

If you were writing to a western business, I would be able to help you with a couple of suggestions. But I am not sufficiently familiar with eastern cultures to advise you. For example, you bring up the concept of "politeness". In the west, overuse of the words please, kindly, humbly, etc., is not recommended. But I understand that these words are often expected

Dear Junior,
I ve been working with some Asian customers for a while and what i realized is that : They do use a lot of "Please", "kindly"...
Also, complicated and fancy expressions are not recommended. I am living in South korea and working with customers from all over asia, and normally they dont have a crystal clear english, so making things simpler is appreciated.
