How to write an explanation letter on unauthorized use of employees password

hi, just want to seek help writing a letter to explain what was alleged of me. i was alleged of accessing a system using another employees log in to generate a report without proper authorization. as far as i know, me and some of my colleagues has no access to some process in our system. and to perform our work, we used others access. and this is allowed by the management. that is why i am wondering why is it that i am the only one who was given a memo. another thing is i didn't actually access that system. a colleague who knows the log in id and password of that process was the one accessed the system.
