Help writing a vendor letter



Dear Tom,

As per out conversation on 12/25/10, Your tech. came into our office unannounced and with me being the contact I was out of the office, while your tech worked on my machine. A few months back in 2009 I had made a request that when your tech. is making an office he needs to contact me first, this has not happened. The tech. decided on his own that the machine needed a new part with consulting anyone. Mean while the machine was running fine on 12/25/10 and as I stated to you the bill will be disputed. A tech. should not walk into any office and decide to replace any part of a machine without consulting with his and/or her contact. I find this unacceptable.
