Help, native English speaker!

My general idea is to ask my teammates for their annual leave plan, could you help me to polish the following? If someone can think of another more suitable reason for doing the plan, please let me know...Thanks !!

Team,

It’s time to plan ahead your annual leave for 2009, so no leave days will be wasted at the end due to your busy schedule. You may change the days later by sending an email to the HR. Please submit your plan to Michelle by next Monday.

Thank you for your cooperation,

Hi Sarah Planning ahead is good thinking. Another reason for a team to plan annual leave as a group is so that you all can cover for each other during the popular vacation times. If you are also doing a leave plan for yourself, then I would use "our annual leave" rather than "your annual leave".
