As for timing, I don't schedule these kind of events more than 2 months beforehand/out/early to keep my calendar open for potential bigger events. We will be able to lock the date in a bit closer, 2 weeks beforehand early.
On another note, can you send me your bank information so we can proceed to the down payment.
