Hand over letter format

Question

I am going to quit my work at the end of this month.

I need to inform and introduce someone who will take my duty and responsibilities over from me to all my customers.

Therefore , i would like to know how to write that letter.

Please kindly send sample letter of it.

Any textbook will give you the formal parts of a letter. You need to fill in the details that only you know. For example, who is to receive the letter, how much do you want to tell them about your reasons for leaving, how long an introduction to the new person do you want to make, etc. Also, is this a general letter to everyone or does it go to particular individuals (are you going to send several versions of this letter out)?

Here is one format sample:

I am writing to let you know that I will be leaving XYZ company at the end of this month. My replacement is Mr. ABC, (who has done such and so forth). If you have any questions, please call ABC (or Mr. DEF) at TELEPHONE NUMBER.

Can I ask you definitions of a few words in context:
Is outline correct word? Is the sentence correctly describe?

Her see through nails were so long you could see the outline of her fingertips under the nail.

Is reprehensible correct word? Do I put 'involve myself romantically' or 'agree with the point'?

Long nails on males are reprehensible and I will not involve myself romantically with any man with long nails! I agree with your point that you do have to actually keep them clean.

Is 'hate on' correct words?

Long nails are those that stick out from your fingers, ones that can be seen from when looking at the palm of your hand and they stick out.

Here are my suggestions (in bold):

Is outline the correct word? Is the sentence correctly described?

Her see-through nails were so long that you could see the outline of her fingertips under the nail.
"Outline" is all right. Other possible terms are "shape" or "contour."

Long nails on males are reprehensible and I will not involve myself romantically with any man with long nails! I agree with your point that you do have to actually keep them clean.
Reprehensible. I think "reprehensible" is both too severe and too sophisticated a word to use here. Depending on the strength of your dislike, I would say "disgusting" or "repellent" or, simply, "unappealing."
Involve myself romantically. Again, be simple and direct. I would say "date" or "fall for."
Agree with your point. Okay. If you had said "agree with the point," I would have simplified it to "agree." I would, however, change the second "you" to a generalized word--"one" or "people" or "men"--to avoid confusion with the "you" that the writer is agreeing with.

Hate on is slang. Say instead "hatred for" or "dislike of" or similar phrases.

Awkward. I would say something more like: Long nails are nails that stick out from/protrude from/overhang/etc your fingers. If they can easily be seen when you are looking at the palm of your hand, then they are too long.

I apologize for piggying. I had just nail and 2 hair questions and 2 other. I wanted to get your thinking. May I ask the hair question?
Is 'clipper guard' 'close shave' correct?

Person A: You won't be able to get a close shave with hair clipper guard #7 or #3 for that matter. You'll have to get rid of the guard and use the clipper itself to get a close shave.

Person B: The longest guard is #8 which will cut my hair too short, it'll leave the hair an inch long so I use scissors for the top part.

Is demarcation and delineation correct word?
Her hair is blonde at the top and black at the bottom, but it doesn't gradually go from blonde to black, its a clean break from blonde to brown. You can see in the demarcation from blonde to black. The more I blow dry the hair, the more the delineation between blonde and black is visible.

You didn't seem excited about doing it. That's the image you gave off. Some people have a more hard time showing their emotions than other.

I'd like to meet up with him on the front end of the station platform.
The "front end" in my mind refers to the end that we'll see when we look at the same direction as our train will go.

In this situation, if I just tell him "Let's meet up on the front end of the platform," would he understand my intention correctly? Or is it possible that he will be waiting on the other end of the platform instead, mixing up the meaning of the phrase "front end"?

Here are my suggestions/corrections (in bold):

Is 'clipper guard' 'close shave' correct?

The "clipper guard" and "close shave" are fine. But I would revise the sentences:
Person A: You won't be able to get a close shave with hair clipper guard #7 or #3 attached, for that matter. You'll have to ~~get rid of~~ remove the guard and use only the clipper ~~itself~~ to get a close shave.

The second sentence has too many clauses jammed into one sentence. Break into two sentences:
Person B: The longest guard is #8, which will cut my hair too short. It would leave my hair about an inch long, so, instead, I use scissors for the top ~~part~~.

No, I wouldn't use those words (demarcate is to distinguish one from another; delineate is, essentially, to outline). Be less fancy. Here is how you might reword:

You can see the jump ~~demarcation~~ from blonde to black. The more I blow dry the hair, the more the ~~delineation~~ line between blonde and black is visible.

["Front end" is too vague--it requires everyone to know and agree on what front and rear mean. And they may not agree. Be more exact. Think of a map. For example, you could use North, South, East, West: I will meet you at the south end of the station.

You could also reference a common point (the entry door, the ticket stand, whatever): I will meet you next to the ticket stand. I will meet you by the far end of the station by the tracks.]
