Formal business letter

Hi everyone!

I would like to ask you to give me any advice about writing a business letter. What you think about this mail when you read it. Currently, I am writing an official university letter for visit request. I am trying so hard but what do you think about the letter below. Is this bad or good, too direct or unclear, impolite or polite. I need your suggestion and any advice!!

I wish to take this opportunity to express my sincere gratitude for your support for the academic and student exchanges between our universities.

I am writing to you that I would like to request you to grant permission to our three administrative stuffs for visit to AAA University from September 9th to 15th. The alternative date is from August 21st to 27th or from September 24th to 30th.

The purpose of visiting is to give an opportunity to our young administrative stuffs to learn more about international institution in overseas. In addition, we believe that this will contribute to further international exchange and deepen friendship between both universities.

During the visit, our delegates would like to discuss and share university administrative knowledge, especially in the field of admission systems, curriculum coordination, student service, management and disaster planning for future practice in which helps to improve knowledge levels and skills.

Our stuffs would like to visit your premises as per your convenience. For your expediency I will send list of questions that we will discuss during our visit.

I found very interesting grammar mistakes that I have.

Such as, field --> area, delegates --> representatives or staff members, grant permission --> request permission and so on.

I feel like these words are similar to the other. But in sentence, the word gives different meaning or nuance??

The words are similar, but they each have their proper place in different topics and contexts. These are not usually indicated in dictionaries, so you will have to learn by experience. A lot of reading will help you.
