Hi,
I want to write an explanation letter to front office manager for voiding telephone charges without informing him.telephone phone charges was posted in vacant room because of system error and i tried to find the reason behind system error the but unable to find that.my F.O Manager asked me to write the explanation letter regarding the same.Can u please help me out.its very urgent

Sir i have already informed him.
Because of system error Computer automaticaly charged in vacant room.
Earlier also this same problem happnd and at that time also we have voided the amount.
I will explain u with the help of example:
Guest of room no 120 called his frnd by using room phn provided by hotel and when he disconected his phn computer system automatically posted charges
