Explanation letter

im working as a supervisor in restaurant. i have a problem with our monthly report ( food Cost )
we have a variance of 3.28 %
our theoretical food cost should be 17.18 % only and the actual food cost is 21.00 %
with allowable food cost of 1 %
now the company wants me to pay the variance of 2.28 % which cost in money of 4,152,00 aed
kindly please somebody help me to do the explanation for them
so they will not deduct that certain amount to my salary
for i did not steal that money or spend the said amount.
