Explanation for head office

It has been noted that the words " and issue as soon as possible" used in the application (my application for a demand) are against the office decorum. juniors cannot direct seniors for any demand / bills / claims.

i sent a demand for some Items for my office, at the end of that application i wrote some words which were not suitable as i mentioned above. so they call my explanation now tell me some good suitable words (or an apology) to write in response.

The word 'demand' can often sound rude.
Possibly you may be thinking of the word 'order', which is commonly used in business and is not offensive..

You could say
eg I would like to request 20 pen
