E-mail for a professional advice

Please help me improve the following e-mail for a professional advice. Thank you.

Dear Mr. Fox,

We write to seek your professional advice on the appropriateness of placing small stones at the trenches of lawn bowl greening at our clubhouse.

In fact, our clubhouse have recently received a senior member, expressing his discontentment about the presence of large amount of small stones at the trenches of the lawn bowl greening, which cause considerable damage to his own expensive lawn bowls after these fall into the trenches every time and he questions us if those trenches with small stones violates the lawn bowl sports regulations and represents a below standard lawn bowl greening.

Since we are due to make a reply to his complaint, we hope you can let us know by tomorrow whether it is proper to place small stones at the trenches. If not, please advise us what kind of object should be placed at the trenches or simply leave the trenches empty. Thank you for your advice.
