Could you please comment grammatical mistakes

These are my notes.

Mary

Mary is responsible for all e-submission upload including tender, tender query, site visit nomination, quotation and ABC invoice*, download all tender documents, CIC and PCFB payment notice, and keeping all original contractual documents.

1. If you need to decline a tender, send email with a reason to her.

2. If you need to send a request to company A for a site visit, send email with name of contact person and mobile number to her.

3. She will inform us of awarded Purchase Order. We may help to fill out the project commencement record and obtain signature from manager for her announcement.

4. While receiving the payment certificate from Mary, we need to locate it on QS server and update both cashflow forecast and WIP.

* For ABC invoice with amount not over 2 million, the originals are kept by QS after they have been uploaded by Mary.

May

Please tell May if you have to deliver/collect an important document, i.e. tender document, contract document, cheque and surety bond to/from the other company. She is working on procurement as well.

Sophia

Sophia is responsible for personnel and administration accordingly. They include leave application form, Saturday rota, distilled water ordering, stationery replenishment, copier out of order, travel expenses, petty cash, complaint, etc.

Ruby

If you need to send out your IPA/Invoice/letter, please pass it to Ruby for her arrangement. Indicate whether it is by courier or by post. She also takes care of staff's fingerprint attendance.

Katherine

1. To have Peter's signature, the Managing Director, pass it to Katherine.

2. Katherine will update standard forms and locate them on the data server. Our subcontract complied with a lot of appendices in which the source files are come from those standard forms. Please remember to replace the old and use the new in our subcontract once notice is received.

Brenda

To have David's signature, the Director, pass it to Brenda.
