Complaint letter about poor service in a cruise ship

Hello guys,

Please, can anybody make any changes for me? I made up this information thinking from my mother tongue and I don't know if it makes sense in English. I would appreciate your feedback to keep improving my writing skills. Thanks beforehand.

Activity : You are now an inspector of a cruise company. You have received a complaint about poor service in a cruise ship. Read the complaint and write a report for the company suggesting the appropriate changes and improvements.

Dear Sir/Madam,

I’m writing to inform you that I’ve received a complaint about poor service in your cruise ship from Mr. Windham. Mr. Windham, a regular customer, has made me an itemized list of the problems that occurred while on board the ship. You should try to follow some appropriate changes and improvements to cultivate the loyalty of the client.

According to Mr. Windham’s complaint, here are my recommendations:

Firstly, you should try unreservedly to apologize for the error made by your company offering him at least a 30% reduction off the next ticket and let him to choose the destination and date of the next voyage.

You may say the pool was out of order and that it is closed off-season. You should try to explain your enterprise have participated in a program hiring students as interns by redirecting him on the main home of the website in the Frequent Asked Questions(FAQ’s) board.

Regarding the lounge, an accurate explanation would be that the room was being refurbished and that night there were a retirement party of an important employee. The meal is within American culture and is scheduled upon request.

On the other hand, many apologies might sound rude thus try to say your company is at your service and give him some offers he cannot turn down. A good apologize would be explain that as a result of the massive lay-off some workers have been relocated and the new staff is getting used to the know-how of the enterprise.

As a gesture of goodwill, we would like you to transfer to another cruiser that we’ve recently bought which is well-appointed and equipped saying that we understand how disappointing it can be when your expectations are not met.

Eventually, you should therefore suggest that we look forward to receiving from you further requirements, and assure you that they will be answered as soon as possible.
