I was given a task where I have to write a "formal" complaint letter as an essay, and this is what I prepared:
Dear Sir or Madame,
I am writing to make a formal complaint about what in my view was a lack of professionalism and commitment to the customer displayed by some of the staff members during our stay at your hotel last Friday.
First of all, I would like to point out that we were delighted with the quality of the facilities of the hotel, but unfortunately, I cannot say the same about the customer service. My wife and I had arranged for a hiking tour in the mountains leaving early in the morning of the next day,so I arranged with the front desk clerck for a wake-up call .We rested assured that we would be up on time to join the group in the hotel lobby, but nothing could have been further from the truth; the next day I woke up at 8 o'clock and the group had obviously left the hotel by then. I immediately went to the reception to ask for an explanation for why I had not been called, but the receptionist indicated that she was not aware of any wake-up call to my room; I was puzzled, so I asked her to call her collague, the one with whom we had arranged when we registered the previous day to give me an explanation and to offer an apology to my wife, but she insisted that the reception was not allowed to call staff members in non-business hours. All that lack of interest on the part of the staff caused us to miss our tour, and cosequently to leave the hotel.
We truly wist to know the position of the management regarding this unpleasant situation.
We look forward to hearing from you at your earliest convenience.
Yours faithfully,
J. Casas
