Yes , We have received the invoice but they charge us VAT . We have contact to them but the lady who is responsible for the invoices is not well. Therefore we have to wait her to back to work . I will chase them again end of this week

It should be:

"Yes. We have received the invoice and were charged VAT. We have contacted them, but unfortunately the person (no need to say lady!) responsible for invoices in currently on sick leave. I will follow this up again at this end of the week."

Another simplified way to say this:

"We received the invoice, but they charged us VAT. I contacted them, but the person responsible for invoicing is ill, so I'll have to wait for her to return to work. I'll contact her again at the end of this week."

Another thought... Some folks may not know what VAT stands for, so you may want to spell it out.

In any case ...companies can't choose whether or not to charge VAT. If they are VAT registered then they have to charge VAT, unless it is for one of the very few products or services for which VAT is not payable.

Or unless it's being exported of course, and then it's VAT (Value Added Tax) exempt...
