Our company is trying to do paperless report that's why I need to ask the company if they prefer elec. copy.

This letter would make sense only if you were physically mailing it and asked if the recipient also wanted an electronic version.

If you are supposed to find out if, rather than mailing a hard copy, they want a soft copy, you would send a different letter.
