Business letter

Dear Sirs,

With reference to the above said subject, we would like to bring the following for your kind attention.

a) The contract was signed for an amount of BD. 1,252,450.000 on 14.02.2011, we procured the materials and received the same on 03.05.2011 and 05.05.2011 respectively. Fabrication was started immediately from the top floor in a descending order. Glass orders were released as soon as a single item of a particular unit fabricated. We started delivering and installing the Item No. W8 of 31 and 32 floor. But the client instructed us to start from the 29th floor onwards. All our schedules was changed and we have to reframe from the begining.

b) On the 29th floor, the opening was not unique. We have to chip the concrete to fix our frames which caused us much delay. More over our glass supplier also got delayed in supplying the glass. Many other sub contractors were involved in 29th floor, our aluminium were scratched as they were stepping on our materials, removing scaffolding etc,. Openings for window type W3 for 29, 26 & 25th floor were not unique (highway side). We have spent much time in chipping the concerete.

c) As we moved from 29th to 28th floor the client instructed us to finish the 34th floor. As the schedule is changing every now and then we have to reframe our program accordingly which caused us much delay. We were not able to start our works as the site is not ready (eg. 34th floor)

d) Water proffing was delayed from other contractors. Where ever water proofing is ready, its not properly cleaned and we have to break the waterproofing in order to fix our frames. Tile contractors at the front elevation fixed there tiles before fixing our frames for the doors which caused us much delay as we have to cut the tiles.

e) The Lift was not provided for us on time when asked for. We have to wait minimum 45-60mnts as its shuttling from the top to bottom except the ground floor. There was no proper plan nor schedule from the Site Supervisor for the cradle and was not fixed because of scaffolding. Now, we requested the client to provide us the cradle.

f) 1 no. of Balcony Glass, 1 no. of triangular window Glass (29th floor) and 1 no. of DW1 Glass (25th floor) was broken by other subcontractors.

g) For the Balcony Handrails, we have provided an extra of 54 lmts Aluminium ‘U’ channels than that of the quote, which we noticed that these channels are fixed on the sides except at the middle portion (elevator area). Now the Site Supervisor is requesting us to provide more channels. Fixation of the channels is not unique. The profiles are bended, not enough packing, so we have to adjust, clean the channels before we fix our glass.

Sir, we are in a fast track to complete this project asap. Hope this report will give you a clear picture on where and why the delay happened.
