become a formal letter

Referring to numerous conducted joint site inspection with client, Architect, consultant and relevant parties, the inspection resulted in our requirement to relocate indoor units in the mock-up flats at each tower more times as requested by client. Since the maintenance of whole indoor unit require the full size of access panel and have informed to client during the site inspection. Up to now, the exact location of access panel cannot be provided in connection with the location of indoor units are still pending for approval.

At the meantime, we would like to seek an approval to the location of indoor units in order to settle the assess panel location for future repairs.

(Would you mind giving me some comments on my grammar and language to become a formal letter?)

Following numerous joint site inspections with the client, architect, consultant, and other interested parties, we have been required multiple times by the client to relocate the indoor units in the mock-up flats at each tower. The access panel is required for the maintenance of the indoor units, as we have informed the client during the site inspections. The exact location of the access panel cannot be determined until the location of the indoor units is settled.
