Dear Seniors

I'm currently working in bank and Auditors found lot of annual audit discripincies. Now, I have responded their comments and I have to inform them in writting that the irregularities are going to be rectified and we assure you that there would be no arise such irregularities, which are related to high risk in at our end in future.

I request seniors help me out to correct my sentences,as I have to reply them within 2 days.

Thaks for your positive response.

Actually I'm working in Commercial Bank as a Branch Manager, Our internal auditors conducted annual audit and many irregularities were found during the operations work of the branch. Now, the auditors have given me 120 questions in writting, where as I have to give them comments. Moreover, my branch was situated in old premises, which bank premises has been handed over to the real owner, and such discripinces arose due to the new premises because we are trying to complete things in order to avoid such irregulariities, which are imposed by auditors in high risk. Please I have to give them reply along with the Branch Comments. Please help me out .......at your earliest possible.

It sounds like you have two tasks. First, you want to offer them some general comments, explaining the situtation (such as problems caused by changing premises). That would be part of a cover letter. I would build on the sample I gave you. Second, you need to answer their individual (120) questions. Those answers require your specialized knowledge.

Auditors have found irregularities, which are they opt on HIGH RISK, whereas I have completed answers of the 120 questions, some of the high risk issues arose caused by changing prmemises, all of our operationl file,documents,registers were in mess up due to changinge from old premises to new premises, and we could not provide auditors some important file register during the audit of our bank branch. Now, I have to write them that such irregularities would not arise in future and requesting them -auditors that procedure will be followed without violation of policies,rules,regulation and prudential.

Please guide me how can I respond them through courtesy.

Okay. Again, this is an internal memorandum, correct? (You are responding to a department of the bank.) I would give a formal and polite reply. Here is a sample of such a reply. (Use actual names, titles, and numbers.)

During the recent annual audit of our bank conducted by your department, the audit team noted a number of discrepancies. Some of these were identified as high risk problems. We were also requested to respond to a group of questions concerning those discrepancies.

The replies to the audit questions (have already been submitted/follow in a separate section [which I have attached to this cover memo]).

However, I would also like to make clear the unusual circumstances which led to the many noted discrepancies. As you may be aware, the bank branch changed premises (recently/shortly before the audit was scheduled). In the resulting confusion, it was difficult to locate many of the requested files, documents, and registers. Now that the transfer is complete, we are confident that we will be able once again to strictly follow the appropriate policies and guidelines.

Please be assured that all of the items in question are being rectified and that we do not expect such discrepancies, once corrected, to arise again in the future. Please let me know if you need any further information.
