A bonus memo / the bonus memo

"Dear Molly

I need to prepare a bonus memo for each agent. Could you send me their respective year bonus amount, Payable in Jan 09 and the balance due to non-received fees? "


Everyone will get a bonus memo for him / her, so should I write" a bonus memo" or " the bonus memo" ? Also, did I use the right word " respective" here?
